  1. Scope and Acceptance

These Terms & Conditions apply to all bookings, including event tickets, hotel arrangements, upgrades, VIP packages, transport services, and any additional services offered by the organizer. By completing a booking, the participant confirms that they have read, understood, and accepted these Terms & Conditions.

  1. Booking and Contract Formation

A booking becomes binding once confirmation has been issued by the organizer. The organizer reserves the right to refuse or cancel a booking if necessary.

  1. Services and Packages

Event tickets may be transferred to a future edition. Hotel bookings are non-refundable.

Bookings may include separate components such as event participation, hotel accommodation, VIP packages or upgrades, and transport services. These components may be subject to different conditions due to their nature and third‑party involvement. Only the services explicitly listed in the booking confirmation are included.

  1. Payment Terms

Payments must be made in accordance with the terms stated on the invoice. In case of non‑payment or late payment, the organizer reserves the right to suspend or cancel the booking. The organizer reserves the right to require advance payments or deposits.

  1. Cancellation and Refund Policy

All bookings are considered final once payment has been received. Due to the nature of the event and pre-contracted commitments with third-party suppliers (including hotel accommodation), no refunds shall be due in case of cancellation by the participant. This includes cases of no‑show, illness, visa issues, travel disruptions, or any other personal circumstances preventing attendance. Event tickets and entry-related components of a booking may be transferred to a future edition of the event, subject to approval by the organizer. Hotel accommodation and other third-party services are strictly non-transferable and non-refundable. Any transfer of tickets to a future event is offered as a gesture of goodwill. The organizer reserves the right to determine the conditions, scope, and validity of such transfers, including applicable deadlines. Participants are responsible for arranging their own travel and cancellation insurance.

  1. Modifications

Requests to change bookings, including services, dates or participants, are subject to availability and may be treated as a cancellation, in which case the Cancellation and Refund Policy applies.

  1. Event Changes

The organizer reserves the right to modify the event program, schedule, venue setup, or services. Such changes do not automatically entitle participants to a refund or compensation.

  1. Hotel Accommodation

Hotel arrangements are provided through third‑party suppliers. Due to pre‑contracted commitments, stricter supplier conditions may apply and availability is not guaranteed. If the main hotel is unavailable, an alternative accommodation may be offered.

  1. VIP Packages and Upgrades

VIP packages and upgrades provide enhanced services and experiences. Only explicitly listed benefits are included. Elements such as seating, catering, service, and timing may be adjusted if required. VIP components have no separate value and are not refundable individually. Late arrival may result in loss of benefits without compensation. VIP packages are personal, non‑transferable, and may not be resold without prior written consent.

  1. Seating and Access

All seating or positioning is indicative unless explicitly confirmed. The organizer reserves the right to adjust seating layouts and relocate participants without entitlement to a refund.

  1. Transport and Shuttle Services

The organizer may offer shuttle services or assist with transport arrangements. These services are provided as an additional convenience and are subject to availability and operational conditions. The organizer is not responsible for delays, traffic conditions, or missed connections or flights due to circumstances beyond reasonable control. Participants are advised to allow sufficient buffer time for travel to airports and other connections.

  1. Travel and Insurance

Participants are responsible for arranging their own travel arrangements, health insurance, and cancellation insurance. The organizer strongly recommends adequate insurance coverage. The organizer is not responsible for costs or losses resulting from travel disruptions, illness or injury, or inability to attend.

  1. Tickets and Authorized Sales

Tickets and packages are only sold through official channels of the organizer. Tickets obtained through unauthorized sources may be invalid and refused at entry. Copying, duplicating, or unauthorized resale of tickets, wristbands, or booking confirmations is strictly prohibited. The organizer reserves the right to cancel such tickets or packages, deny access, and take legal action. Fraudulent activity, including ticket copying or illegal resale, may be reported to the relevant authorities.

  1. Liability

The organizer shall not be liable for loss, theft, or damage of personal belongings, travel or third‑party services, or indirect or consequential damages. Participation is at the participant’s own risk. Liability is limited to the maximum extent permitted by law.

  1. Participant Conduct

Participants must behave respectfully and follow instructions from staff and the venue. The organizer reserves the right to refuse entry or remove participants without refund in case of misconduct.

  1. Force Majeure

In the event of circumstances beyond the organizer’s control, the organizer reserves the right to modify the event, adjust dates or services, or offer alternative solutions where appropriate.

  1. Media and Recording

The event may be photographed and recorded. By attending, participants consent to the use of images and videos for promotional purposes.

  1. Data Protection

Personal data is processed in accordance with GDPR/AVG regulations. Please refer to the Privacy Policy for full details.

  1. Amendments

The organizer reserves the right to amend these Terms & Conditions at any time. The version applicable is the version in force at the time of booking.

  1. Governing Law and Language

These Terms & Conditions are governed by Dutch law. Any disputes shall be handled by the competent courts in the Netherlands. In case of discrepancies between translations, the English version prevails.
